    1. Document Control

    Our Document Control Module is essential when creating, editing, and updating your organisation’s documents. With ease, your organisation is notified of changes and updates electronically – through email notifications or alerts. The Document Control Module also caters for the distribution of documents to relevant users in the Management System. This Module archives Records and any obsolete documents to ensure your historical data remains intact.

    2. Non-Conformances and Corrective Action

    This Module enables you to issue and track non-conformances by assigning them accordingly. Non-conformances can be created, assigned, rejected, and accepted in this space. Additionally, there is a clear view of the progress of the non-conformance – to follow up and ensure continuous improvement of your organisation’s processes.

    This Module also provides an online Root Cause Analysis tool. This function is essential as the underlying causes of non-conformances or incidents are identified with ease through our guidance. This will place your organisation in the best position to implement effective solutions. Additionally, corrective actions can be linked to Non-conformance Reports, Audit findings, customer complaints, and inspections. Our truly user-friendly interface will assist you in your corrective action process.

    3. Risk Assessment

    This Module enables your organisation to track, monitor, and report on risks associated with projects, products, or services. This Risk Assessment Module provides an online platform to enter identified risks, provide mitigation plans, and implement control measures. Users can be assigned to risks, and will become responsible to reduce the risk accordingly.

    4. Environmental Aspects and Impacts Assessment

    An environmental impact is the result of any activity, service, product undertaken by the organisation that changes the environment. Resource depletion, for example, is an environmental impact. Learning about the identification and evaluation of environmental impacts is a fundamental part of this Module. You will learn a systematic approach to identifying, evaluating, and managing environmental impacts.

    5. Hazard Identification and Risk Assessment (HIRA)

    One of the core challenges faced by Emergency Managers is how to prevent accidents. Prevention ensures that hazards and risks are detected early, and are planned for before they possibly occur.  This HIRA Module includes the prevention, mitigation, preparation, responses, and recovery to and from different types of hazards.

    6. Safety Incidents and Accident Investigation

    Incidents and accidents in the workplace references any occurrence, situation, or condition within the workplace that may have caused injuries or resulted in damage. These incidents and accidents are required to be investigated, to uncover their nature and source. This includes identifying the deficiency or error, rectifying the situation, and preventing it from reoccurring.

    7. Auditing Management (First, Second, and Third Party Audits)

    An Audit is an investigation of a organisations activities. This is undertaken by an independent body. There are typically three types of Audits: First, Second, and Third Party Audits. A First Party Audit is an Audit that is conducted internally. A Second Party Audit is often conducted by or on a supplier, customer, or contractor. Finally, a Third Party Audit is conducted by an independent organisation against a recognised Standard.

    8. Management Review Meeting

    These formally structured meetings involving Top Management take place regularly throughout the year. The purpose of the Management Review Meeting is to evaluate the effectiveness of the Management Systems. Through this, your organisation will determine where improvements can be made, a process by which continued sustainability and growth can be seen.

    9. Internal Communication

    • User requirements are defined and documented for each system user group. Each requirement is categorised and allocated a unique reference number.
    • Process Flows of current and proposed processes are created.
    • Systems research and information gathering takes place.
    • A User Requirements Document (URD) is developed.
    2. High Level Design (Desktop/Web)
    • User requirements are decimated into functional design specifications.
    • A proposed process model is designed and documented.
    3. Detailed Specifications
    • A data model is designed and documented.
    • A Design Specifications Document (DSD) is developed.
    4. Development (Web)
    • The data model is developed.
    • Technical implementation of functional specifications is carried out.
    5. Unit Testing
    • Unit and modular testing take place against DSD.
    • A Unit Test Report is created.
    • Necessary changes are made as required.
    • Bug and issue tracking management activities are conducted.
    6. Integration Testing
    • Pilot study is conducted as requested.
    • Quality assurance and system testing take place.
    • Test Plan documentation is created.
    7. Operational Testing
    • System deployment takes place.
    • End-user training is conducted.
    • Testing and verification of software and operational requirements for final changes are carried out.
    • Final changes are approved.
    • Server requirements are constructed under the guidance of the WWISE team.
    • Alternatively, the system may be run on WWISE’s server at a small fee of R 4 800 per month.
    8. Support and Maintenance
    • Help Desk is setup.
    • Hosting, data backups, and server maintenance is conducted.
    • Ongoing support is provided for queries.
    • System administration and maintenance is conducted as required.
